Wow! 150 packs being shipped directly from the breeder! With Sebring currently out of order you are leading the way in how we can still accomplish the vision of overgrowing. That’s a ton of work. Just dealing with that many DMs on this site is a nightmare.
Seeing as I will be attempting something similar in a few months, I’d like to check with how you’re doing things. What are you mailing out to the US recipients, coin flips/washers in a stamped envelope? Are you sending packs in bulk to non-US distributors?
I’d like to make sure the breeder isn’t losing more money than necessary on these situations. Seeing as they’re already devoting time, space, electricity, etc to make them. Would you figure $300 would cover your expenses in shipping/packing materials? Seems low maybe. That’s only $2/pack fee, and what I believe was agreed to charge per strain (plus shipping!) for the spring and winter boxes. But logistically how would you accept such fees?

Couple boxes of self sealing coin-flips, i like the quarter ones better but had to do half-dollar this time

International/Global Stamps = 10 per ‘Sheet’ for $13, gonna need at least two most likely.
Forever Stamps = 100 Stamps in a ‘Roll’ for $58, gonna need at least one of these.
So like ~$225, depending on how many international letters you’re sending, should cover it I think. And you can definitely do cheaper than I did on the flips and cardstock.
I made up a logo with Monkeyman’s help and printed a bunch of labels and put them on the black envelopes. 15-16 seeds per washer per sealed flip. Then just tuck a coinflip in each envelope and seal it to make the Seed Packs. Tape the seed pack to the greeting card, in an envelope, and send it out. You can see the packs in the OP just before the signup list.
For Canadia I was able to just send a small flat rate box to Doug Dawson to cover all the Canadian members, full of the packs, for around $32 on pirateship.com. Declared as ‘Handmade Seed Beads’ with a $5 value. They landing today after like 4 days of shipping
Latin America I sent 2 cards with 3 flips each to cover most of those members. Two International/Global Stamps or 6 ‘Forever’ stamps for those. There was two members that wanted letters direct. Can maybe get by with 1 International/Global stamp on those but I usually added a couple forever’s just in case. I need to actually go to a post office
Pretty much everyone else is one card per person. In the States and a single pack, I think just one Forever Stamp is good enough. Its under an ounce and fits through the rollers so I don’t see why not. I’m sure I’ll find out soon enough. Still got 58 people left to contact.
I’ve just been collecting fees through paypal and/or cashapp. Whatever is most comfortable for people. I used to accept donations through paypal for android development so I don’t see any issue accepting it for shipping costs. I haven’t been requiring it at all, but giving everyone the option. Most are able to cover it with a few covering extra that has been super helpful.

The strain donations are supposed to cover these costs which is where the distributors come in. For example the package sent to Canada will have its cost reimbursed. Folks are still able to send their own stuff, I have sent many hundreds of envelopes out at my expense but the distributors solve this for us all when things are working correctly. Things are being worked on and will be sorted out soon.

oh yeah! Soon as I found those I switched over and never looked back. I don’t care if they cost more than they should, the time saving is worth it.
Yeah, this is the part that people aren’t considering when they say seed run growers should feel privileged to be able to pack up and ship 150 packs of beans on their own. It’s easy to spend someone else’s money and time when you have no clue what it actually entails.
Your investment into this SSDD F2 BX1 grow was considerable, and the results are super-impressive and greatly appreciated. The additional financial investment you’ve made into packaging everything, and the time it’s going to take to complete this monumental task is simply OVER THE TOP!
Regarding your PM communications, I hope mine helped you avoid bigger issues that you may not have seen coming. Also, you can open one PM thread and invite everyone you want into that thread. That way, you only have one PM thread for the TL2’s, and one for the TL3’s. Perhaps it’s too late for that this time, but it may help you in the future (if you’re crazy enough to do a similar seed run!).
One last thought…
Those washers you bought are very similar to the first batch I bought for shipping out seeds. Unfortunately, I got too many reports back that some of the seeds in the flip didn’t make it, and in some of the cases - none of them survived. I started doubling the washers by stapling 2 together, which worked great - but it was a PITA. So I ended up getting these washers:
They’re 1" versus 3/4", but more importantly, they’re slightly thicker and significantly more dense. In other words, the rollers can’t squish them! Every single seed I’ve sent out with them has reached their destination.
@HolyAngel, I know the idea of changing those washers is not very appealing. You’re prepared and ready to go now, and I get that. But it would be a shame to go through everything you’re doing, only to learn that your seeds are being murdered all over the world by the postal system.

Ooh nice, I’ll definitely take a look at those! I haven’t had any reports of crushed seeds with these while also using the greeting card. I’m sure I’ll find out soon enough though when people go to pop them. And yes, seeds are all already packed, there’s no way I’m redoing all of those next time tho
I did think about the group PM for a second, but there’s no way to handle and track all the addresses that way. My inbox would be full of randomly titled pm’s that I’d have to hover over the avatar’s for or try and search in order to find. I think one at time, with their name in the title and what pack its for is the way to go from a management perspective. I would take almost any forums PM system from the last 25 years over the way its setup here.
You can search your pms by user name bud, not a ton of help with so many pms but might help some.
Yeah search or hover over avatars. Its not good nor easy. If the system could just show who it is under the title of the message that would help immensely, but here we are

Although @HolyAngel is requesting $2 for s&h, a minimum $5 would help cover costs plus his time sorting.

36 people left to contact. waiting on addresses today to ship out ~20 more. On track for all sent out by Friday, sans the few people that are still acquiring safe addresses
